1. Overview

SAPOptimize.com ("we", "us", "our") is a SAP license analysis tool. This policy explains what data we collect, how we use it, and what rights you have. We are committed to keeping your data safe and processing it only as described here.

2. Data We Process

Uploaded SAP Export Files

Files you upload (USR02, AGR_USERS, AGR_1251, UST04, SAP_USAGE) are processed entirely in memory on our servers. They are not written to disk, not stored in a database, and not shared with third parties. The file is deleted from memory immediately after the analysis is complete.

Analysis Results

When you are signed in, the resulting analysis JSON (aggregated statistics, no raw file content) is stored in your account so you can access it later. You can delete your analyses at any time from the dashboard.

Account Data

If you create an account, we store your email address and a hashed password. We use this solely to provide access to your saved analyses.

Usage Analytics

We use Google Analytics to collect anonymised page-view and interaction data (no personal identifiers). This helps us understand how the product is used and where to improve it.

3. What We Do Not Do

  • We do not store the raw files you upload.
  • We do not extract or store individual usernames or passwords from SAP exports.
  • We do not sell, rent, or share your data with third parties for marketing.
  • We do not connect to your SAP system — analysis is entirely file-based.

4. Data Storage & Security

Account data and analysis results are stored in Supabase (EU region). All data in transit is encrypted with TLS 1.3. Access to the database is restricted by row-level security policies — you can only access your own data.

5. Cookies

We use a single authentication session cookie to keep you logged in. We do not use tracking cookies or third-party advertising cookies.

6. Your Rights (GDPR)

If you are based in the EU/EEA, you have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your account and all associated data.
  • Object to or restrict certain types of processing.
